Job Description
The Secretary to the CEO provides high-level administrative support to the Chief Executive Officer, ensuring smooth day-to-day operations. This role requires exceptional organizational skills, discretion, and professionalism in handling confidential information. The Secretary will act as the primary point of contact between the CEO and internal/external stakeholders, managing schedules, communications, and critical administrative tasks.
Key Responsibilities:
- Manage and maintain the CEO’s calendar, scheduling meetings, appointments, and travel arrangements.
- Screen and prioritize emails, phone calls, and other correspondence on behalf of the CEO.
- Prepare reports, presentations, and other documents as requested.
- Organize and coordinate meetings, including agenda preparation, minute-taking, and follow-ups.
- Handle confidential information with integrity and discretion.
- Serve as a liaison between the CEO and executives, employees, and external stakeholders.
- Oversee office administrative functions to ensure efficiency.
- Conduct research and compile data to support decision-making.
- Assist in drafting and reviewing correspondence, policies, and internal communications.
- Support special projects and initiatives as assigned by the CEO.
Qualifications and Skills:
- Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Proven experience as an executive secretary, similar role (Freshers can also apply)
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently, handle multiple tasks, and prioritize effectively.
- High level of discretion and professionalism.
- Strong attention to detail and problem-solving skills.
- Ability to work under pressure and meet deadlines.
